Operations & Events Coordinator (Part-Time)
Missoula, MT | Hybrid Remote
~20 hours per week
We are a small, mission-driven events company producing trail running and outdoor community events in Western Montana and beyond. Our events are designed to be well-organized, welcoming, and deeply connected to the landscapes and communities that host them. We are looking for a highly organized, proactive person to join our core team and help run the day-to-day operations that make our events exceptional.
This is a core operations role with real ownership. You will play a central part in how our events are planned, communicated, executed, and continuously improved. While the initial scope is part-time and execution-focused, there is meaningful room for growth over time for the right candidate in both responsibility and compensation.
We are looking for someone based in Missoula, but we are open to considering exceptional candidates from Western Montana.
What You’ll Do
You’ll help ensure our events run smoothly from planning to execution to follow-up.
Operations & Logistics
- Manage event registration and volunteer management, ensuring accuracy, consistency, and a high-quality participant experience
- Manage participant communications across email and web platforms
- Build and maintain timelines, checklists, and calendars for multiple events
- Coordinate with venues, vendors, permit agencies, and partners
- Support volunteer planning and event-day logistics
- Organize event equipment and inventory, including packing lists and post-event reconciliation
- Assist with course logistics and event weekend execution
- Take ownership of projects from planning through execution and follow-up
Admin & Communication
- Serve as a point of contact for participant, volunteer, and partner questions
- Update website pages and event information
- Support budget tracking, expense organization, and documentation
- Draft and schedule emails and social media posts (content provided)
Systems & Improvement
- Create, document, and maintain workflows, templates, and standard operating procedures
- Identify operational inefficiencies and propose practical improvements
- Support implementation of improved systems as the company grows
Who We’re Looking For
- Highly organized, detail-oriented, and reliable
- Comfortable taking ownership and working independently, while collaborating effectively with a small team
- Clear, thoughtful communicator, both written and verbal
- Able to manage multiple deadlines and priorities
- Experience in event operations, project coordination, administrative support, or similar operational roles
- Tech-comfortable with Google Drive, spreadsheets, and online tools
- Willing and able to travel for work and event-related matters as needed
- Interest in outdoor events, trail running, or community-based work is a bonus, not a requirement
- Interested in growing with a small, mission-driven business over time

Physical Demands
This role is a mix of desk-based work and hands-on event support.
- Primarily sedentary work when planning and coordinating events, including working at a computer for extended periods
- During event periods, this role requires regular on-site presence and the ability to move around outdoor venues for several hours at a time
- Ability to lift, carry, and move event supplies and equipment weighing up to approximately 40 pounds on an occasional basis
- Ability to work outdoors in variable weather conditions, including heat, cold, wind, rain, and uneven terrain
- Ability to stand, walk, bend, and perform light physical tasks during event setup, execution, and breakdown
- Event days may require long hours on your feet and flexibility with schedule and tasks as needs arise

Schedule & Compensation
- Approximately 20 hours per week, year-round
- Flexible schedule with a mix of remote and on-site work. Option for office share in Missoula.
- Event weekends are required several times per year
- Compensation: $27–$32/hour, depending on experience and fit
- Benefits include a flexible work schedule, a cell phone stipend, and a health insurance stipend

Working Together
You’ll work closely with the Owner and Race Director and help coordinate support staff, contractors, and volunteers during event periods. We are a lean team that values clear communication, mutual respect, and thoughtful work.
